This article is for Designated Safeguarding Leads (DSLs).
The Chronology is a timeline of all records created for the student, presented in reverse chronological order. A student’s profile page shows the Chronology tab by default, and you can export it by downloading it as PDF or printing it out.
Prepare the student’s Chronology
- Sign in to Record Manager and select Search on the left navigation bar.
- Enter the student’s name in the Search bar. Suggested results will appear on the Active Students and the Archived Students tab.
- Select View. The screen will show the student’s profile, which defaults to the Chronology tab.
Tip
If the student has a recently created or open record, you can locate them on the Dashboard.
- Select the student’s name to view their profile.
- At the top right, select Options > Print/Download Chronology. Record Manager will generate a preview of the Chronology.
Note
It can take up to a few minutes to generate the preview, depending on the size of the Chronology.

- Include transfer receipt: Creates a transfer receipt form. If you share a copy of the Chronology with a third party (for example, another school), you can ask them to sign this form to prove they’ve received the document.
- Remove staff names: Removes the identity of the staff who added the records provided in the Chronology.
Downloading Chronology as PDF
- On the preview page, select Download Chronology.
Image 2: Download Chronology button - On the Download Student Chronology pop-up, you can give the Chronology an optional password. This ensures only authorised persons can view its content.
Image 3: Password-protecting a Chronology - Select Download PDF and save the file in your drive or a secure folder.
Printing a Chronology
Caution
Given the sensitive nature of students’ Chronologies, exercise caution when printing, storing, or sharing printed copies with third parties.
Your printer settings differ depending on your printer and computer’s operating system.
- On the preview page, select Print Chronology.
Image 4: Print Chronology button - Set your printing options (for example: page range, paper size, orientation).
- Select Print or OK.
Important
You can save the Chronology as a PDF using your device’s printing dialog. However, this option doesn’t let you add a password to protect the document from being viewed or altered by unauthorised parties. For more information on protecting your PDF files, see Securing PDFs with passwords.
