You can lock a student’s Chronology to prevent other users from viewing or updating their records. You may need to lock a student’s Chronology if there is an ongoing investigation by authorities to make sensitive records available only to you and your nominated staff. It’s also often used when a child of a Safeguarding Team member attends the school.

Only the DSL who locked the Chronology and another they’ve chosen as
an Overriding
User can unlock it.
Lock the Chronology
- In Record Manager > Search, find the student and open their Student Profile page. If they have a recent record, you can find them in the Dashboard.
- At the top-right of the page, select Options > Lock Chronology.
- (Optional) Select an Overriding User who can unlock the Chronology.
- Select Lock Chronology.
Important
To ensure the Chronology is accessible should you or the Overriding User leave the school, you must unlock the Chronology, assign another Overriding User, then lock it again. For further assistance, contact our Support Team.
Who can access a locked Chronology?
Only the DSL who locked the Chronology and the assigned Overriding User can access and unlock it. However, all users can still create records and view the Student Profile page. In Table 1, No indicates features that are unavailable to all other users.
