This article is for Designated Safeguarding Leads (DSLs).
You can review the Referrals made on Safeguarding Concern or Behaviour Incident records. Referrals are added to records when students are referred to support services outside Record Manager. By adding Referrals, DSLs log evidence that they’ve engaged local services for support in addressing recorded Concerns or Incidents involving their students. Only DSLs can view, add and close Referrals.
To review a Referral:
- Select Referrals on the left navigation menu. The Referrals screen will show In Progress and Closed referrals.
- Locate the relevant Referral. You can:
- Filter Referrals by Date or Date Range.
- Search by student’s name.
- Filter Referrals by Referral type
- Sort Referrals by Date, Referral Type, Student Name or Status in ascending or descending order by selecting the column header.

- Select Details to read the Details of Referral and open the linked Safeguarding Concern or Behaviour Incident record.

Category type: Ensure the appropriate referral is added to the record. See Referral Categories.
Note
Choosing the wrong category does not affect the Referral’s outcome, only the accuracy of the record.
- Details of the Referral: Ensure the Referral’s details are accurate and complete. This field describes why the record is referred to the selected authority or organisation.
- Linked Concern or Incident record: Check the linked record’s details, including updates, notes, replies, files and other referrals that indicate any action or progress made by the authorities or organisations you referred the record to.

Category type: Ensure the appropriate referral is added to the record. See Referral Categories.
Note
Record Manager doesn’t send Referrals to local authorities or organisations, nor does it provide communication channels between schools and referral agencies.
Next steps
Once you’ve reviewed the Referral’s details, you can:
- Close the Referral. You can close the referral when it has been accepted or actioned by the organisation or authorities to whom you referred the record. Select Mark As Closed.
- Add another Referral. You can add another Referral if you think that the initial Referral’s outcome did not sufficiently address the issue, or that you've subsequently added another referral.
- Delete the Referral. You can submit a removal request for the Referral if it was added incorrectly. Select Delete, enter your reason for deleting the Referral, then select Submit. The Smoothwall Support Team will delete the referral within 48 hours. Deleting a referral does not remove the original record.
