Update a Safeguarding Concern

This guide explains how to update a Safeguarding Concern created in Record Manager. A Safeguarding Concern record should be created when a DSL or staff member has seen or heard something that makes them concerned for a child’s safety and well-being (for example, a child is at risk of abuse or is being abused).

To update a Safeguarding Concern:

  1. Sign in to Record Manager > Dashboard.

  2. All Open, Unread and Closed Safeguarding Concerns appear in the Dashboard.

    Note
    Non-DSL users can only see the Safeguarding Concern records that they created.

  3. Find the record and select Update.

    Tip
    DSLs can select Add Update on the toolbar while reviewing the record.

  4. Complete the Add an update to Safeguarding Concern form:
    1. The Name of Student(s) field will auto-populate. You can remove a student from the record by selecting X on their name. You can’t add more students to an update.
    2. The Date of Update and Time of Update will auto-populate. You can select a new date and time from the Date and Time picker.

    3. (Required) Select your update from the What is the nature of your update? drop-down.

      Additional support Additional support is needed for, or should be provided to, the student
      Assessment Result of an assessment on the student or their record.
      Attendance Change in the student’s attendance.
      Case Conference Result of a conference done to address the student’s record.
      Core Group A group of professionals and family members who work together to create, implement, and review a child protection plan
      Early help update An update based on the Early Help Assessment requested for the student.
      Email

      An email you sent or received about the record. 

      You can also attach a copy of the email.
      Home visit A home visit was completed for the student.
      Home/Family The student’s home or family receives support as a response to the concern.
      Intervention An intervention is recommended or started for the student.
      Letter

      A letter sent to authorities or received from concerned parties.

      You can also attach a scanned copy of the letter.
      Meeting A meeting has been scheduled or completed.
      Note Additional notes.
      Outcome The resolution to the concern.
      Police involved Police was involved to investigate or act on the event.
      Search for prohibited item A search for prohibited items was conducted by the school. Note: For more information, see the Department of Education’s guidance on searching, screening and confiscation in schools.

      SEND The student has Special Educational Needs and Disabilities.
      Social Worker visit A social worker visited the student’s home or spoke to the student at school.
      Student voice

      The student’s feelings and opinions about their situation.

      Asking for the student’s thoughts on their situation helps to ensure they get the support they need. For more information, see Guide 4 of Children’s Act 1989, Ensuring children’s wishes and feelings are taken seriously for more information.
      Telephone call A phone call was made to speak to the student’s parent or guardian.
      Text message A text message was sent/received.
      Verbal communication The school or local authorities spoke to the student or their parent/guardian.
    4. Enter the Details of the Update. Write as much factual detail as you can.
    5. Attach a File if required. You can attach up to ten files with a maximum file size of 40MB for each file. See Supported File Types.
    6. (Non-DSLs only) For Have you verbally informed a DSL?, select Yes or No. This field is mandatory and will not change the selection in the original Safeguarding concern record.
    7. If an injury is present, select Edit on the Body Map. If there are multiple students in the update, select the body map for the right student.

    8. Mark the location of the injury, then select Save Changes.

      Note
      This update won't change the body map in the original Safeguarding Concern.

    9. Select Save to submit your update.
  5. You'll be taken back to the Dashboard. To view your update, find and open the record, then select Expand Updates.
