DSLs (Designated Safeguarding Leads) can alter a record’s status to Open or Closed. Staff users can only see the status of the Records they created.
Note
A record in Record Manager is either a Safeguarding Concern, a Behaviour Incident or a General Note.
Record status options in Record Manager
On the Status column, you will see one of four statuses:
| Status | Description |
|---|---|
| New | You (or another staff member) have successfully submitted a record, but a DSL still needs to acknowledge or mark it as Open. |
| Open | A DSL has acknowledged the record and marked it as Open. This means that action is ongoing for the record or that it's being reviewed. |
| Closed |
A DSL has resolved the record and marked it as Closed. You may see this status when the student has transferred to another school that uses Record Manager. Record Manager will automatically close any open records for that student. For records that involve multiple students, a check mark appears for the student whose record has been marked as Closed by the DSL. |
View a record's status on the Dashboard
- Sign in to Record Manager.
- The Dashboard categorises your submitted records under three tabs: Safeguarding Concerns, Behavior Incidents, and General Notes.
- The number of Open and New records appear at the bottom right of the page.
- Select the arrow icon next to the Status column header to organise records by their status.

View a record's status on the Notifications panel
You will be notified when a DSL actions a record you raised for a student.
- Sign in to Record Manager.
- Select the Notifications icon (bell) at the top-right to see which record has been marked as Read by your DSL.

Note
When a DSL marks a record as Open, its status changes to from New to Open both in the Dashboard and the student’s Chronology.
View a record's status from the student's Chronology
Your DSL must turn on your access to students’ Behaviour Incident records.
- Sign in to Record Manager.
- Select Search on the left navigation menu, then type the student’s name in the Search bar.
- Select View on the student’s row to open their profile page. All records created for the student appear in their Chronology tab, with each record’s status in the Status column.
