You can create a unique custom tag and assign it to students. Custom tags work similarly to the system tags that are synced from your MIS (Management Information System) or imported via the Student List CSV.
Create a custom tag

Check that the custom doesn’t exist in Record Manager by going to Search > Student Overview and selecting Show Tags.
- In Record Manager, select the Account icon at the top-right of the screen.
- Select Software Settings.
- Under Custom Student Tag, enter the new custom tag.
- Select Save.
Assign a custom tag
- Find the student via Record Manager > Search.

Select the View button on the student’s row. The student’s profile page will show.

You can find the student in the Dashboard if they have a recent record. - Select Add a Tag and choose the tag(s) you want to add.
- Select Add Tag from the dropdown.
- The tags will appear on the Tags field of the student’s profile and on the student’s row in Student Search.
Rules for using custom tags

You can only have ONE custom tag at a time.
You can’t create or keep multiple custom tags. However, you can always overwrite or replace it.

Tags can be duplicated.
When Record Manager syncs tags from your MIS or imports them from the Student List CSV, it doesn’t check for tag duplication. Ensure your new custom tag isn’t already in the system by going to Search > Student Overview and selecting Show Tags.
The Student Overview panel will show all system tags in your Record Manager site and the number of students that are assigned each tag.

Overwritten tags aren’t removed from students’ profiles.
Overwritten custom tags automatically update on students’ profiles, rather than being removed. For instance, if the custom tag ‘Get It Right (GIR)’ is assigned to a student and it’s overwritten with ‘Remote Learner (RM)’, the ‘Remote Learner (RM) tag will appear on the student’s page immediately.

You can’t delete custom tags from the system.
You can only replace custom tags in System Settings. When you delete a custom tag, Record Manager will automatically use the previous one.

Don’t use spaces in your custom tag’s acronym.
Don’t leave spaces between characters in your custom tag’s acronym. Spaces appear as plus signs in tags.

Use only letters and numbers.
You can use letters and numbers for the custom tag’s acronym. Do not use special characters or spaces. For example, ‘ABC123abc’ will appear the same on the student profile, but ‘@BC 123 abc’ will show as ‘%40BC+123+abc’.

Custom tags are case-sensitive.
Custom tags retain the letter case used in the Acronym and Name fields. If you enter ‘HElP’ in the Acronym field and ‘Healthy lifestyle program’ in the Name field, the custom tag will show as ‘HElP’ on the student’s profile and ‘Healthy lifestyle program (HElP)’ in Student Overview.
